A professional email should help the reader understand why you are writing and what should happen next. The phrases below are useful because they make the purpose, action, and timing explicit without sounding abrupt.

Adapt the details to your situation instead of copying a phrase without context. A useful email usually names the request, the owner, and the deadline.

- Could you please…?

- I’m following up on…
- Returns to a request or conversation that already happened.Example: “I’m following up on the budget question from Monday’s meeting.”

- To clarify…
- Corrects or explains a detail that may be unclear.Example: “To clarify, the Friday deadline applies only to the first draft.”
- Please let me know if…
- Invites a specific response or offers help.Example: “Please let me know if you need the figures in a different format.”
- My next step is…
- States the action you will take after the message.Example: “My next step is to incorporate your feedback and send a final version.”
- Thank you for…
- Closes by recognizing a specific action or contribution.Example: “Thank you for explaining the reporting process this morning.”
Before you send: make the action clear
Read the email once from the recipient’s point of view. They should be able to answer three questions without guessing:
- Why did I receive this message?
- What, if anything, do I need to do?
- When does the sender need a response?
